Hardly any customer buys the first time they hear about you. First they discover you, then they compare, then they hesitate and, if all goes well, they buy. That journey has a name: the sales funnel. Understanding it lets you stop relying on luck and know exactly where you are losing customers and what to do to win them back.

What a sales funnel is

A sales funnel is a picture of the stages a person goes through from the moment they hear about your business to the moment they become a customer. It is called a funnel because at every stage some people drop out: many discover you, fewer become interested, some ask for information and only a share buy.

The goal is not for nobody to drop out (that is impossible), but for as few as possible to drop out at each step and for the journey to be easy.

The stages of the funnel

1. Awareness (top of the funnel)

The person doesn’t know you yet or barely knows they have a problem. Here the goal is for them to discover you: social media content, blog articles that answer their questions, SEO, reach advertising or recommendations.

2. Interest and consideration (middle of the funnel)

They know you exist and are weighing up options. They need information and trust: real case studies, reviews, comparisons, guide prices, a clear website. This is the moment to get their contact details in exchange for something useful (a guide, a demo, a quote).

3. Decision and conversion (bottom of the funnel)

They are about to buy or hire. Any friction can stop them: a long form, an unclear price, a call that never comes. What matters here is speed, follow-up and guarantees.

4. Loyalty and referral

The funnel doesn’t end with the sale. A happy customer can come back, buy more and recommend you. And getting someone to return usually costs much less than winning a new customer.

How to build your sales funnel step by step

Step 1: map your customers’ real journey

Take your last ten customers and answer: how did they find you? What did they do next? How long did they take to decide? What made them hesitate? You will see patterns. That is your current funnel, even if you have never drawn it.

Step 2: define one clear action for each stage

For each stage, decide what you want the person to do:

  • Awareness: watch a video, read an article, visit the website.
  • Interest: download a guide, subscribe, use a calculator, ask for information.
  • Decision: book a call, request a quote, buy.
  • Loyalty: leave a review, buy again, refer a friend.

Step 3: create the content and tools for each stage

You don’t need everything at once. The minimum for a simple funnel to work is:

  1. A source of visitors (SEO, social media or ads).
  2. A page built to convert. We explain how in how to build a landing page that converts.
  3. A form or a very easy way to get in touch.
  4. Organised follow-up of every lead.
  5. Automated emails so nobody is forgotten. See email marketing for small businesses.

Step 4: organise follow-up with a CRM

Many sales are not lost on price but through forgetfulness: a quote sent that nobody followed up, a lead who wrote on a Friday and got a reply the following Wednesday. A CRM (a tool for managing contacts and opportunities) shows you where each potential customer is and what needs doing next.

Step 5: measure conversion between stages

This is where the funnel works its magic. If you know how many people move from one stage to the next, you know where the bottleneck is:

  • Lots of visits and few leads → the problem is the website or the offer.
  • Lots of leads and few sales → the problem is follow-up, price or trust.
  • Lots of sales and few repeat customers → the problem is the after-sale experience.

A simple example

Imagine a language school:

  • Awareness: reels with tips for learning English and ads in its city.
  • Interest: a free level test on the website in exchange for an email.
  • Decision: an email with the result, the recommended group and a trial class; a call if they haven’t booked within 48 hours.
  • Loyalty: a mid-course survey, a bring-a-friend discount and an enrolment reminder for the next term.

Every step has a clear goal and can be measured.

Key funnel metrics

  • Conversion rate at each stage (visit to lead, lead to customer).
  • Cost per lead and cost per customer.
  • Average time from first contact to sale.
  • Average value of each customer and how often they come back.

Common mistakes

  • Investing only in attracting visitors when the problem is converting them.
  • Not replying quickly to new leads.
  • Asking for too much information too soon.
  • Not following up on quotes you have sent.
  • Forgetting the customer after the sale.

Frequently asked questions

Does a sales funnel work for any business?

Yes. The channels and timings change, but every business has a journey from the moment someone discovers it to the moment they buy. In service and B2B businesses it tends to be longer, and follow-up matters even more.

Do I need expensive tools to have a funnel?

No. You can start with a clear website, a form, a spreadsheet for follow-up and well-thought-out emails. Tools help you scale and automate once the process already works.

How much can a funnel be improved?

It depends on the case, but small improvements across several stages multiply each other. If you gain a little on the website, a little on follow-up and a little on repeat purchases, the final result grows much more than each improvement on its own.
