Thousands of followers don’t pay the bills. What grows a business is the people who follow you ending up buying, booking or asking for a quote. Instagram can be an excellent channel for that, as long as you treat it as a sales tool rather than a shop window you post in “when there is time”. In this Instagram for business guide we explain how to do it step by step.

Before you start: is Instagram right for your business?

Instagram works especially well for visual or experience-based businesses: restaurants, fashion, beauty, aesthetics, interiors, fitness, tourism, events, consumer products… It can also work for professional services if it focuses on showing the team, the process and the results.

If your customers are large companies making decisions in boardrooms, LinkedIn or SEO may suit you better. It is not about being on every network, but on the one your customer uses.

Step 1: optimise your profile as if it were a mini website

Your profile is the first thing someone sees when they discover you. In three seconds they need to understand what you do, who for and what to do next.

  • Professional account: to access insights, contact buttons and ads.
  • A name and username that are easy to find and remember. The name field also counts in Instagram search: include what you do (“Ana López · Physiotherapy”).
  • A clear bio: what you do, who for, where, and a call to action.
  • A useful link: to your website, a booking page or a specific landing page, not a messy list of links.
  • Organised story highlights: services, prices or reviews, how we work, FAQs.

Step 2: define your content pillars

To avoid drawing a blank every week, decide on three or four fixed themes you will post about. For example, for an aesthetics clinic:

  1. Educate: tips, myths and answers to common questions.
  2. Demonstrate: the process, before and after (with the client’s permission) and the team at work.
  3. Build trust: real reviews, certifications, who we are.
  4. Sell: services, promotions, available slots.

A reasonable balance is for most content to add value and a smaller share to be directly commercial.

Step 3: use each format for what it does best

Reels

The format with the most reach for people who don’t follow you yet. Short videos work well, with a hook in the first few seconds, subtitles (many people watch without sound) and one idea per video.

Carousels

Ideal for explaining things and getting your post saved: step-by-step guides, lists, comparisons, common mistakes. The more saves and shares, the more reach.

Stories

Your day-to-day and your conversation with existing followers: polls, questions, behind the scenes, current offers. This is where a lot of sales are closed.

Step 4: post consistently (without burning out)

It is better to post two or three times a week all year round than every day for a month and then disappear. Organise yourself with a monthly calendar, shoot several pieces of content on the same day and repurpose: a carousel can become a reel and several stories.

Step 5: turn followers into customers

This is where most accounts fall short. For Instagram to bring in customers:

  • Include calls to action: “book via the link in our bio”, “send us a message with the word APPOINTMENT”.
  • Reply quickly to messages and comments. An unanswered message is a lost customer.
  • Send traffic to a page built to convert, not your generic home page. We explain how in how to build a landing page that converts.
  • Track where your customers come from: ask “how did you hear about us?” and use tracked links.

Step 6: speed things up with advertising

Organic reach has a ceiling. With a moderate Meta Ads budget you can show your best posts to people in your area or with your interests, and reach again those who visited your website. If you are unsure where to invest, read Google Ads or Meta Ads.

The metrics that matter

  • Reach and new accounts reached: are new people discovering you?
  • Saves and shares: a sign of valuable content.
  • Link and contact button taps.
  • Messages received and, above all, how many become customers.

Likes and follower count are useful as a reference, but they shouldn’t be your goal.

Common mistakes

  • Buying followers: it inflates the number, kills your reach and none of them buy.
  • Posting only offers or only product photos.
  • A profile with no link, no clear bio or no way to get in touch.
  • Disappearing for weeks and coming back in a rush.
  • Not replying to messages and comments.

Frequently asked questions

For most businesses, two to four posts a week plus frequent stories is a good balance. Consistency matters more than volume.

How long does Instagram take to deliver results?

Organically, it is common to start seeing results after two or three months of consistent work. With advertising you can get leads within the first few weeks.

Should I manage it myself or hire someone?

If you have the time and enjoy it, you can start yourself with this guide. If you can’t keep up or aren’t seeing results, delegating lets you keep consistency and a clear strategy, which is what makes the biggest difference.
